Moving on to the Confirmation Stage, you can add staff and employees who will undertake roles such as Reader, Reviewer, and Signer for the documents.
Reader: Their task is to read the documents and approve that they have done so. This is useful for documents that all employees must read, and their confirmation can serve as evidence.
Reviewer: Staff members assigned as reviewers will be tasked with opening the uploaded file(s), making modifications, providing insights, or fixing any issues with the file(s).
Signer: The designated staff member in this role will be asked to sign the file(s), and the signed file(s) will be automatically uploaded as evidence.
In the image provided below, there is a Reader confirmation box.
Identify the Options button for this box, marked by the arrow below.
Each confirmation box presents two options:
Edit: This option allows you to change the box's type to either Reviewer or Signer.
Delete: This option removes the box.
Please note that the Delete button is currently grayed out (unavailable). This is because there must be at least one confirmation box of any kind (Read/Review/Sign).
In this interface, while editing a Reader box, you have the capability to:
Change the box's type: Identify the option marked with an arrow below to modify the confirmation box's type.
Change the ETA (Estimated Time of Arrival): Adjust the time allocated for confirmation or signature.
Below, the interface displays the three types of confirmation boxes available.
To include employees in the reading and confirmation process of our documents, click on the + button located beneath the desired confirmation box, as indicated by the arrow below.
In the 'Add a Collaborator' window, select one of your staff members or employees who will be responsible for reading and confirming the documents.
Highlighted in the circle below are two members we've included as Readers.
To incorporate another Confirmation box, click on the + button within the Automation pipeline.
A crucial note: The Automation process commences from the left and advances toward the right side of the pipeline.
If a Confirmation Box is added to the right of an existing one, it will only initiate after the completion of the box to its left.
Highlighted in the circle below, you can observe the three types of Confirmation Boxes available after clicking on the "Add Confirmation Box +" button.
Displayed below is an example of a pipeline containing all three types of Confirmation Boxes.
The sequence unfolds from left to right: initially, the two Readers will be prompted to read and confirm the uploaded file.
Subsequently, the Reviewer will be tasked with reviewing and modifying the file if necessary.
Finally, the Signer will be required to view and sign the document.
Upon completion, the signed document will transition to the Evidence stage.
